Individual Registration Cancelation and Refund Policy
DOD Briefings/Fellows Luncheon:
Cancelations will be accepted through February 18, 2019, and must be received in writing, to firstname.lastname@example.org. Registration fees will be refunded in full minus a handling and processing charge of $75.00. SAME regrets that refunds cannot be issued after February 18, 2019, or for no-shows, except for deployed forces with orders. You may also transfer your registration to a colleague if circumstances prevent you from attending the conference, but they must be a member of SAME to attend.
Golden Eagle Dinner:
If you will no longer be attending the Golden Eagle Dinner, please send an email to email@example.com. Refunds will not be granted. Registrations for the Golden Eagle Dinner can be transferred to a colleague by emailing firstname.lastname@example.org.
Individual Attendee Registration Transfer Policy
To transfer your DOD registration please contact email@example.com with ALL of the following: substitute's full name, prefix/suffix, badge name, position title, work address, work phone number, cell phone number, email address, and Emergency Contact name and phone number. Since the DOD Briefings are for Members ONLY, your substitution must be an SAME Sustaining Member Representative or an Individual Member of SAME. The substitute must be a member of SAME. Transfers must be submitted to firstname.lastname@example.org by Friday, March 8, 2019.
Code of Conduct:
SAME is committed to providing a safe and welcoming experience for all participants, regardless of race, ethnicity, disability, religion, political affiliation, gender, gender identity or expression, sexual orientation, and any other characteristic protected by applicable federal, state, or local laws, regulations, or ordinances. SAME does not tolerate discrimination, intolerance, harassment, aggression, or ill-will of any kind at any SAME event, either in person or via electronic methods.
We expect all event participants, presenters, sponsors, employees, and staff to:
• Remain positive, friendly, and welcoming to others at all times.
• Recognize that this event is a place for diversity of thought, organization, and individuals; as such, respect and inclusivity for all is expected.
• Wear your event badge at all times, with your name on it.
• Be alert and report any discriminatory, harassing, aggressive, or exclusionary behavior or speech to event staff immediately.
Unacceptable behavior includes, but is not limited to: intimidating, harassing, abusive, discriminatory, derogatory, or demeaning conduct; inappropriate physical contact (e.g., unwelcome sexual advances, groping, sexual assault); physical, written, verbal, or other abuse as determined by SAME and its representatives, in their sole discretion; and failing to obey any rules or regulations of the venue and SAME.
Consequences of Unacceptable Behavior
Unacceptable behavior will not be tolerated. Anyone engaged in unacceptable behavior is subject to expulsion from the event, in SAME's sole discretion, without refund.
Reporting Unacceptable Behavior
If you are being harassed, notice that someone else is being treated poorly, or have additional concerns, please contact any member of the SAME National Office on-site or by contacting email@example.com
We expect all participants to follow this Code of Conduct at all event venues, any external venue affiliated with the SAME event, and all related social events. The policy may be revised at any time by SAME without notice. In the event of an emergency, please contact local authorities immediately.
